Terms of Service and Policies of Othman Bin Affan Academy (May Allah Be Pleased with Him)

  1. Class Attendance
    ● Time is our most valuable asset; therefore, both students and teachers must attend classes on time.
    ● Delays are not accepted from either party except in emergency cases.
  2. Dress Code
    ● Students must wear modest and appropriate clothing suitable for Qur’an lessons.
  3. Class Rescheduling and Make-up Policy (Important)
    ● If a student cannot attend a class for any reason, they must send a message to support via email or live chat at least 5 hours before the class starts.
    ● Students are allowed to reschedule up to 3 lessons per month within the study plan.
    ● If the student is absent without prior notice, a make-up class is only provided in case of sudden illness or family bereavement.
    ● If the student plans a vacation, they must inform the academy via email or chat at: support@othmanacademy.com
  4. Teacher Punctuality
    ● In rare cases, the teacher may be absent (e.g., power outage or medical emergency).
    ● In case of delay, the student should email the teacher to notify them, and the time or class will be compensated.
    ● If absences or delays from the teacher are repeated, please contact support.
  5. Number of Monthly Sessions/Hours
    ● The number of sessions is agreed upon during registration.
    ● Students can increase or decrease the number of sessions via email or chat: support@othmanacademy.com
    ● If a month happens to include 5 Saturdays instead of 4, the fifth class will be added to the next invoice.
    ● The plan can be upgraded or downgraded by notifying support at least 2 days before the new course begins.
  6. Quality Monitoring
    ● Learning quality is monitored through attendance discipline, teacher training, and student/teacher feedback.
    ● Quarterly reports for students under 16 (in January, April, July, and October).
  7. Reports
    ● Teachers write a summary after each class.
    ● Students and parents receive progress reports every 3 months.
  8. Evaluation and Feedback
    ● The Quality Department sends an email to the student after several lessons to request feedback or complaints.
    ● The goal is continuous improvement of service.
  9. Privacy Policy
    ● The academy protects the privacy of both students and teachers.
    ● All personal data is confidential and may not be accessed or used by any third party.
    ● The official academy email is the only approved means of communication.
  10. Payment Policy
    ● Enrollment must be completed after the first successful trial class and before the next class begins.
    ● Payment is made in advance to cover 4 weeks (28 working days).
    ● Auto-renewal subscription: renews automatically every month until canceled.
    ● Manual monthly subscription: payment must be made on the registration day of each month; otherwise, classes will be suspended until payment is received.
    ● If there are remaining sessions from the previous month:
    ○ You can request a refund from the academy.
    ○ Or reschedule them with the teacher at a suitable time.
  11. Refund Policy
    ● A refund policy is available.
    ● If the student wishes to stop, they must inform the academy at least two days before the desired stop date.
    ● Attended classes will be deducted from the prepaid amount, and the remaining balance will be refunded.
  12. Official Holidays
    ● Only the two Eids:
    ○ Eid Al-Fitr (5 days).
    ○ Eid Al-Adha (5 days).
  13. Learning Exclusively Within the Academy
    ● Students are not allowed to study with teachers outside the academy.
  14. Leaving the Academy
    ● If the student decides to leave, they must send an email or chat message two days before the departure date, mentioning the reason.
